Digital Made Simple, LLC is looking for a talented, capable, execution focused team member to provide general virtual assistant support. Role Summary 

  • Mange inbox – Provide a weekly high level summary report of emails including: how many customer/prospect inquiry emails have come in, how many emails have you responded to in each inbox within 24 hours, and types of inquiries.
  • Ensure an excellent customer experience through administrative, service, and marketing functions of the business.
  • Ensure a fluid and uncomplicated client onboarding and offboarding experience (a)
  • Provide timely and solution driven communications to clients, qualified leads, and potential business partners.
  • Maintain smooth operations of systems and automations.
  • Help create a balanced calendar that reduces day-to-day complexity and creates week over week progress between business, project and client work without overwhelm.
  • Consistent posting across the following channels at the following rate:
    • YouTube – at least 1/weekly
    • Instagram – at least 4x/weekly
    • LinkedIn – at least 1/every two weeks
    • Website Blog -at least 1/weekly
    • Facebook – at least 4x/weekly

The Virtual Assistant is a mostly virtual position with a few yearly opportunities for in-person teamwork while ensuring the maximum health & safety precautions. You should be comfortable leading the team in weekly touchpoint meetings, providing updates to me, and working autonomously to ensure that daily operations are running smoothly.

I do a really good job of maintaining work-life balance. Any work outside of office hours will be few and far between. That being said, the Virtual Assistant should be flexible to respond to time-sensitive requests, specifically during launch periods.

Duties & Responsibilities

CUSTOMER SERVICE Management 
  • Providing a best in class experience for current and potential clients through seamlessly executing:
  • Qualified lead nurturing
  • Client onboarding & off boarding
  • Client updates
  • Complaints & Questions 
Schedule Management 
  • Sales calls- Calls with current and previous clients about upsell opportunities.
  • Fulfillment calls – Calls in response to online and/or email inquiries.
  • Partnership opportunities – Calls with other corporate businesses and/or entrepreneurs for joint ventures.
Project Management 
  • Partner with me regularly to discuss upcoming projects, launches, and clarify specific requirements and goals for each project
  • Provide weekly project performance reports to me, outlining short-term goal and long-term goal achievement
  • Provide support and assistance during open cart and live launches
Social media  Management
  • Using Canva templates to develop social media graphics
  • Setup and manage social media accounts (ex. YouTube, LinkedIn, Instagram and Facebook ) through Later App.
  • Develop captions to align with DMS brand, strategies and products.
  • Collaborate and develop creative hashtags
Partnership Management 
  • Responding to requests for partnership engagements
  • Sending proposals for partnership engagement 
email Management 

Basic Requirements 

Available during DMS Business Hours (M-F 9am – 7pm EST, Sat 9am -6pm EST closed on Sunday and any major holidays).
  • 20 -24hrs/monthly
  • Associates or Bachelor’s Degree and experience working remotely (preferred).
  • Proven experience in an administrative support role.
  • In-home office setup including Mac or PC Computer (including webcam), sufficiently up to date versions of word processing, spreadsheet, and presentation software (Google Docs, MS Office, or Apple iWork suite preferred), email and ability to add new programs onto computer.
  • A fast and reliable internet connection.
  • Strong written and verbal communication skills (examples are preferred but not required).
  • Experience managing social media.
  • Designated professional and quiet space.
  • Required High Proficiency in Dubsado, Canva, Gmail, and Word processing, spreadsheet, and presentation software (ex. Google Docs, MS Office, or Apple iWork suite preferred)
  • High Proficiency or the ability to gain proficiency quickly in Notion, Acuity, Active Campaign, or Slack. 
  • Proficiency not required but beneficial in Later and Word Press.
  • The ability to be self-sufficient and operate with minimal direction, and a positive attitude.
